WebAdvisor Registration Help

Quick Hints

  • WebAdvisor requires you to select a term. You also need to choose another additional field. If you are searching by instructor name, use the LAST name only.
  • Do NOT use the “Back” browser button; instead click “MENU” tab at the top.
  • After making a selection on a WebAdvisor screen, scroll to the bottom of the screen and click the “Submit” button.
  • If you are using the Express Registration feature, section numbers must be in two-digit format (01, 02, etc.). Make sure to enter the course numbers and section designation correctly (e.g., use the number 1, not the small letter “l” for number one, the number 0, not the letter “O” for zero).
  • When searching for courses, use the blue column headers to better organize your search results (i.e. open/closed status).
  • If registration for a course fails, the reason will display at the top.
  • Make sure to “Log Out” of WebAdvisor when you are finished!
  • Be patient with WebAdvisor, clicking links multiple times will only slow down the system and jeopardize the registration process.

Important Terms & Definitions

  • Conflicts: When something in your schedule inhibits you from taking a certain course (i.e. two classes meeting at the same time).
  • Prerequisites: Some courses require the completion of, or current enrollment in, other courses before you can enroll.
  • Co-requisites: A course might require you to take another course during the same semester (i.e. BIO 120 (lecture) might require BIO 121 (lab)).
  • Open vs. Closed: There is a limit on the number of students that may enroll in a course (i.e. 20). A course is open until all the available space is taken, after which the course is closed. Overload permission is then required to get into the course.
  • Consent: The approval of the course professor is required.
  • Overloads: If a course is full, the permission of the professor is necessary in order to enroll in the course.
  • Full-time vs. Part-time - Financial Aid implications: There are four levels of enrollment for financial aid.  Day students must be full-time, degree-seeking to qualify for institutional scholarships and most federal and state need-based funding. All students must be at least half-time to qualify for Stafford loans. Students may qualify for some aid programs at less-than half-time based on individual eligibility.

  • Adviser Approval: Your advisor must agree to your course selections prior to registration.
  • Maximum student load:
    • If a student has less than one semester and is marked provisional, they may take a maximum of 14 semester hours.
    • If a student has less than one semester and is not marked provisional, they may take a maximum of 18 semester hours.
    • If a student has one or more semesters and a cumulative GPA between 2.0 and 2.49, they may take a maximum of 16 semester hours.
    • If a student has one or more semesters and a cumulative GPA less than 2.0, they may take a maximum of 14 semester hours.
    • Everyone else can take a maximum of 18 credits per fall and spring semesters.
    • Winter Session students can take a maximum of 5 semester hours.
    • Summer Session students can take a total of 12 semester hours, but it is possible to take more. Contact the Registrar’s Office to enroll in more than 12 semester hours.
    • Adult Studies students do not have a semester hour limit except during Winter Session and Summer Session.
  • Probationary: Students on academic probation are those who have not met the minimum requirements based on his/her GPA and his/her classification. Probationary status is not the same for all students.
  • ASP versus Day Student statues: Adult Studies Program (ASP) students are allowed to enroll in both A and B course types. Day Students are allowed to enroll in both D and B course types.

Preparing for Web Registration

  1. Review the online Schedule of Classes and use the schedule to create a list of courses related to your intended plan of study. The schedule is posted online at least one week before each semester.
  2. Make an appointment to consult with your advisor. Do not wait until the last minute!
  3. Meet with your advisor and discuss your course preferences. Your advisor will help you construct a course schedule that will fit into your degree plan. Following the meeting, your advisor will give you electronic approval for you to register online.
  4. During the week prior to registration, check for any “Holds” that will prevent you from taking part in the web registration process. Check for potential “Holds” by logging onto WebAdvisor and clicking on “Student Holds.”
  5. Check your "Personal Registration Info" to make sure you are cleared to register for the upcoming term. This page will provide you with important times and dates. Remember, WebAdvisor is term based.
  6. Make note of your registration day and time.

Signing into WebAdvisor

  • User ID or Login Name: This is the same as your VWC email address minus the domain name. For example, a student with an email address of jdstudent@vwc.edu uses jdstudent as their User ID.
  • Password: Your password is the same as your VWC email password.
  • If WebAdvisor denies your login request, be certain that your internet browser is collecting cookies. Enabling cookies allows WebAvisor to properly process your login request.

Registering for Classes

  1. On your student WebAdvisor screen, you will see a section marked “Registration.” Students will use this section to search for classes, register and get their printed schedules.
  2. VWC - Search for Sections/Consent screen displays a listing of classes and classes’ statuses (open or closed) based on the criteria that you select. You will NOT be able to register for classes with this screen. However, you will need to use this screen to request consent.

  3. Search/Register for Sections provides a method of searching for sections –and- by selecting these sections you have essentially marked them as “Preferred Sections.” Once a section is on your “preferred list” you can do a number of functions with them including registration.

  4. Click on My Class Schedule to view your final course selection. Print a copy of your schedule for your record. If using Firefox, go to "File" and select "Print."

What is Express Registration?
Use this option if you know the exact subject, course number, and section of the course sections for which you wish to register (e.g., BIO 132 03)

There is a new step that you must take once you have selected and submitted your course sections. An intermediate screen pops up that asks you to choose an action for ALL sections or an individual action (one or some sections), not both. The most common action will be RG – Register; but you can also select preferred sections prior to your registration time, put them on a preferred listing on this screen. Then when it is your time to register, go to ‘Register for Previously Selected Courses’ option and choose the RG action.

Courses Requiring Consent
If a course requires the consent of a professor, a “Make Request For Consent” link will be present to the right of the course listing under “Instructor Consent.” Courses not needing consent will have “None required” listed.
To request consent:

  • Use the "VWC - Search for Sections" page.
  • Click the “Make Request For Consent” link. The link will open in a new window, so please enable pop-ups for WebAdvisor.
  • Once the new page loads, simply click on the link titled “Request Consent Now.” An email will be sent to the professor, as well as to you, asking for consent to be granted. A second email will be sent to you once your professor approves your consent request.
  • If approval has been granted, go back to WebAdvisor and register for the course.


What are pop-ups? How do I enable them?
WebAdvisor uses pop-ups to create new windows within the user's browser.

How do I enable pop-ups in Microsoft Internet Explorer?

  • Click on the Tools option on the toolbar
  • Click on Options
  • Click on the Content tab - uncheck "Block pop-up Windows"
  • Click on "Tabs" tab - New pages should be opened in "a new Window"

Courses Unavailable for Web Registration

  • Pass/fail courses
  • Audit courses
  • Guided study, independent research, and tutorials
  • Cross-registered courses
  • Filled courses

These special registrations must be processed by the Office of the Registrar on a Course Selection Form. Such forms can be obtained in the Office of the Registrar.

People Unable to Use Web Registration
Special billing students, cross-registered students, and special high school students are currently unable to register online. If you fall into one of these catagories, please visit the Office of the Registrar.

Before Exiting WebAdvisor

  1. Print a copy of your class schedule. Please use your browser's print feature.
  2. Log off of WebAdvisor prior to closing your browser window.
