Vehicle Reservations

Virginia Wesleyan faculty and staff members may reserve College vehicles for transportation on College-related trips. Students are not permitted to reserve vehicles. Requests should be submitted at least 48 hours in advance. Weekend requests should be submitted by 12 noon on Fridays.

There are two easy ways to reserve a College vehicle:

  1. Pick up a vehicle reservation form at the HUB in the Batten Student Center and return it to Lina Green, director of the Jane. P. Batten Student Center.
  2. Make your request online by completing vehicle reservation form below.

Important information you need to know about vehicle reservations:

  • The number of vehicles is limited and will be generally assigned on a first come, first serve basis. In rare circumstances, there may need to be some changes but as much advance notice and communication as possible will occur.
  • Reservations for vehicles can be made up to one year in advance of your travel date.
  • You will be responsible for refilling the vehicle with gas and making sure it is returned in a clean fashion. Returning the vehicle in a timely fashion is imperative.
  • Please read the reservation form completely, so you are aware of the other responsibilities in using a College vehicle, to include driver approval through our insurance policy.

Instructions

  • Complete the form below.
  • If the dates are available (you will know within 48 hours in most cases), the persons driving the vans must submit their driver’s license to Elaine Aird in the Business Office. If they are not approved by the College's insurance they will not be able to drive the College's van. This should occur at least 48 hours before the check out of the van(s).
  • Check out a gas card from the Business Office.
  • When you are ready to leave, call the HUB at 757.455.3110. A Batten Staffer will meet you at the vans parked by the tennis courts. At this time, you and the Batten Staffer will assess the cleanliness and fuel level of the van.  Once you sign off on the check out sheet, you will be free to take the van.
  • The van(s) must return fueled and clean.
  • Upon your return, ask the Security Officer at the front gate to contact the Batten Student Center HUB. A Batten Staffer will meet you to check your van(s) back in. If you have not refueled and cleaned the van(s) you will not be cleared to return the vehicle(s).

Virginia Wesleyan College (VWC, the College) vehicles may only be reserved by VWC faculty and staff members.

Virginia Wesleyan does not allow the use or transport of controlled substances, alcohol or tobacco products in its vehicles. The College reserves the right to refuse transport to any individual for violations of College policies.

It is understood that Virginia Wesleyan is not liable for any accident or injuries sustained from use of the College vehicles.
