Guidelines and Deadlines

Guidelines

  1. Visit the Office of International Programs (OIP). Get general Study Abroad information from the staff, or attend one of the official Study Abroad Information Sessions.
  2. Make an appointment with an OIP staff member who will give you advice and guidance.
  3. Make an appointment with the OIP liaison in the Business Office, to determine what your Financial Aid package is and how much of it may be used for study abroad. A copy of this statement will be sent to the Study Abroad Coordinator and placed in your file.
  4. Apply to the OIP for approval by completing the following:
    1. VWC application form
    2. Two letters of recommendation from faculty
    3. Health insurance form
    4. Transcript request from the Registrar to the OIP
    5. Application for passport (and VISA, if necessary)
  5. While waiting for the above (A-E) to be completed, use our office and staff to research programs by using books, brochures, and program web sites. Choose at least two possible programs.
  6. Interview by OIP committee for final VWC approval. Once accepted, apply to international school with the assistance of the OIP. (The OIP office must keep copies of application forms.) Determine study abroad program application deadlines.
  7. Student must advise OIP office as soon as International School accepts him/her. If there is no response, let OIP check for you. Study Abroad students and OIP staff must communicate at all times.
  8. With the help of your advisor and the OIP, complete the "Student Approval" form with courses you intend to take overseas. Make sure you get signature and approval for specific requirements, such as General Studies, honor courses, etc, from the appropriate persons before leaving.
  9. Upon advisor approval, take your Student Approval form to the Registrar's Office for approval/registration. You will then take a copy of this approval to the Business Office where you will get the appropriate "Continuing Enrollment Form" for final registration.
  10. A letter stating VWC's agreement with the student shall be mailed to his/her home address with copies sent to the student's advisor, the academic dean and the OIP.

Check the OIP bulletin board and your VWC campus mailbox for important notices!

All VWC students who are accepted into the Study Abroad program are required to attend the OIP pre-departure orientation, a re-entry workshop, and participate in the mid-semester "VWC Worldwide" presentation on campus about their Study Abroad experience.

Spring Deadlines

January 22 Deadline for English-Speaking Union Scholarship applications.
Late January - Mid-February After careful consultation with the OIP, student decides where he/she will study. Student completes application and asks faculty for recommendations to be sent to the OIP.

March 1 Last day for VWC applications and recommendations.

March 16 OIP committee decision is made. Accepted or not.

March 26 International Program applications ready to be mailed by the OIP.

Mid-April Replies from International schools should be received. (The OIP will check these schools from the end of March. Students should notify the OIP as soon as the foreign school contacts them.)

Late April Registration For Study Abroad. (Students can register anytime providing the Assistant Registrar is available. No one else may register a student going abroad.) To complete registration student must then go to the Business Office.

May 15 Application deadline for next fall semester at Humboldt University (aka: "Wintersemester").

Fall Deadlines

September After careful consultation with the OIP, student decides where he/she will study. Student completes application and asks faculty for recommendations to be sent to the OIP.

First Friday in October Last day for VWC applications and recommendations.

Mid-October OIP committee decision is made. Accepted or not.

Mid-October International Program applications ready to be mailed by the OIP.

Mid-November Replies from International schools should be received. (The OIP will check these schools from the end of March. Students should notify the OIP as soon as the foreign school contacts them.)

November 15

Application deadline for summer semester (April to July) at Humboldt University.

Late November Registration For Study Abroad. (Students can register anytime providing the Assistant Registrar is available. No one else may register a student going abroad.) To complete registration student must then go to the Business Office.

REMINDER: All grades must be sent or brought to the Office of International Programs for evaluation upon completion of your studies abroad. Students will also be required to attend a pre-departure orientation, a re-entry workshop and participate in the "VWC Worldwide" presentation before receiving full credit as a study abroad participant.
