Accessing your PhoneMail mailbox
  1. Press the Message Waiting button on your phone or dial the PhoneMail direct access number 757.455.5727.
  2. Press pound if calling from your own extension, or if calling from another extension, dial your extension number, then press pound.
  3. Dial your password, then press pound.
Listening to your messages
  1. Access your PhoneMail mailbox.

  2. Press 3 to listen.
  3. While you are listening to messages, use the following control features.

Recording messages
  1. Access your Phonemail mailbox.
  2. Press 1 to record.

Create a personal distribution list. The PhoneMail system assigns a distribution list number (use the Distribution List Phone Record and write this number in List # space provided) 911

The features available on your phone depend on the model phone you have. Not all features listed below may be available to you.

Message waiting button

Press to call the PhoneMail system. The button's LED lights steadily when you have one or more new messages in your voice mailbox.

Triangle down and triangle up buttons

Adjust the volume for the duration of the call. The volume reverts to normal when you hang up.

Save/Repeat button

After dialing a number, press this button to temporarily save it in the phones memory. If you have a dial tone, pressing this button will redial the number most recently saved in the phones memory. The last number you saved stays in memory until you save a different number.

Conference button

To create a conference call, dial the first number, once the party has answered press the FLASH button to put the first call on hold temporarily. Dial another number. When they answer, press the CONF button to join the first party to the call. Continue the process up to 8 parties, no more than two of which should be off-site for best results. If one of the called numbers is busy or doesn't want to be in your conference press the FLASH button and dial **4 to drop the last call dialed. The CONF button lights when you have an active conference.

Flash button

Puts a call on hold temporarily so you can do something else that needs a dial tone like dialing another number or adding someone to a conference call.

Line button

This button has your extension number next to it. If you touch it when you are on a call, it will disconnect the caller and give you a dial tone. The line button's LED lights steadily when there is a call on your line, blinks rapidly when it's forwarded and slowly when you have a call on hold.

Call waiting light

This light turns on when you have a call on hold as a result of FLASH, HOLD or somebody parking a call on your extension.

Hold

Puts a call on hold and lets you hang up the handset without disconnecting. To get back to your call, touch the line button.

Connect

Gets you back to a call on a FLASH hold and lets you alternate between two calls.

Transfer

Lets you send an existing call to another extension. To use it, press TRANSFER then dial the transferee's 4-digit number. Wait for ringing to start and then either hang up or wait and announce the caller when the transferee answers. If you get a busy signal or the transferee doesn't want the call, connect back to the caller by pressing the CONNECT button.

Handset

The handset has a magnetic on/off switch. To disconnect a call be sure to put it down with the cord at the lower end and to keep the cradle clear of debris.

Ring tone pitch

You can also adjust the ring pitch by getting a dial tone and dialing *572. Press a number from 1 to 8. Each number produces a different tone. The phone will use the last tone selected before hanging up.
