Email Access

Online access

You can access your e-mail online at anytime by going to http://start.vwc.edu. If you have questions about using the Web interface to send and receive e-mail please visit the Google Help Center for e-mail.

Desktop Clients and Wireless Devices

Gmail supports a number of desktop clients and wireless devices that you can use to access your e-mail. We recommend that all client applications access e-mail using IMAP. IMAP allows you to access your e-mail from multiple devices. You can check your e-mail at work using a desktop client, on your mobile phone and at home. In each location you will have access to all of your messages because IMAP will synchronize all accounts for you.

Accessing your e-mail using a desktop client or wireless device is a two step process.

Step One - Enable IMAP

  • Go to http://start.vwc.edu and sign in.
  • Click the Settings link at the top right of the page.
  • Click the Forwarding and POP/IMAP tab, see illustration below.
  • In the IMAP Access box, click the button next to Enable IMAP.
  • Click Save Changes.

Step Two - Configure desktop client or wireless device

  • Gmail directly supports IMAP access to a number of desktop clients and wireless devices. Many other clients will work with Gmail IMAP but are not directly supported.

We will provide instructions for configuring the most commonly used clients on campus.

Microsoft Outlook 2003

  • Open Outlook.
  • Click Send/Receive to receive any messages remaining on the old mail server.
  • Click the Tools menu, and select E-mail Accounts...
  • Click Add a new e-mail account, and click Next.
  • Choose IMAP as your server type by clicking the radio button, and click Next.
  • Fill in all necessary fields to include the following information, see illustration below.
Your Name Enter your name as you would like it to appear in the From: field of outgoing messages.
Example: John Doe
E-mail Address Enter your full e-mail address.
Example: <username>@vwc.edu
NOTE: Replace <username> with your username.
Incoming mail server (IMAP) imap.gmail.com
Outgoing mail server (SMTP) smtp.gmail.com
User Name Enter your e-mail username (including @vwc.edu)
Example: <username>@vwc.edu

Password Enter your e-mail password and check the box next to Remember password

  • Click More Settings... and then click the Outgoing Server tab, see illustration below.
  • Check the box next to My outgoing server (SMTP) requires authentication and select Use same settings as my incoming mail server.

  • Click the Advanced tab, see illustration below.
  • Check the box next to This server requires an encrypted connection (SSL) under Incoming Server (IMAP).
  • Check the box next to This server requires an encrypted connection (SSL) under Outgoing Server (SMTP), and enter 465 in the Outgoing server (SMTP) box.

  • Click OK.
  • Click Test Account Settings...
  • After receiving Congratulations! All tests completed successfully, click Close.
  • Click Next, and then click Finish.
  • Download the latest updates for Outlook from Microsoft. This will help prevent the most common Outlook errors Gmail users see.

Remove old account settings from Outlook

  • In the Outlook e-mail Accounts window, click on the Tools menu, then E-mail Accounts, and select View or change existing e-mail accounts
  • Click Next
  • Select the POP account and click the Remove button on the right.
  • Click Yes to remove the old account.
  • Click Finish

Any e-mail messages that were previously downloaded or saved in your Outlook will still remain in Outlook. However they will not be uploaded to your Gmail account. Old messages can only be accessed from Outlook.

All new mail to or from your Gmail account can be accessed from within Outlook or by going to http://start.vwc.edu.

Apple Mail

  • Open Mail.
  • Click Get Mail to receive any messages remaining on the old mail server.
  • From Apple Mail's Mail menu, choose Preferences...
  • Click Accounts Accounts Tab
  • Click the plus sign (+) along the bottom to add a new account.
  • Select IMAP in the Account Type drop-down menu.
  • Fill in all necessary fields on the General Information screen, then click Continue, see illustration below.
Account Description Enter Gmail Account.
Full Name Enter your first and last name.
Email address

<username>@vwc.edu
NOTE: Replace <username> with your username.

  • Fill in all necessary fields on the Incoming Mail Server screen, then click Continue, see illustration below.

User Name Enter your e-mail username (including @vwc.edu)
Example: <username>@vwc.edu
NOTE: Replace <username> with your username.

Enter your e-mail password.

Incoming Mail Server

  • If you are presented with an Incoming Mail Security screen, verify that Use Secure Sockets Layer (SSL) is checked and Authentication is set to Password, then click Continue.
  • Fill in all necessary fields on the Outgoing Mail Server screen, then click Continue, see illustration below.

Use Authentication Check the box next to Use Authentication.
User Name

Enter your e-mail username (including @vwc.edu)
Example: <username>@vwc.edu
NOTE: Replace <username> with your username.

Password

Enter your e-mail password.

Login
  • If setup is successful, you'll see the a summary screen. Click Continue. Click Done.
  • Select Gmail Account from the Accounts list.
  • Click the Server Settings... button.
  • Verify that Server port is 587.
  • Verify that Use Secure Sockets Layer (SSL) is checked.
  • Enter your e-mail address next to User Name, enter your password, and click OK.
  • Click the Advanced tab.
  • Make sure Enable this account and Include when automatically checking for new mail are checked.
  • Check the box next to Use SSL. (The port should be 993).
  • Now you should disable your old account. Select the POP account from the Accounts list and go to the Advanced tab.
  • Remove the check next to Include when automatically checking for new mail.
  • Close the window, Click Save, your setup is complete.
