Academic Credit Policy

I. Transfer Credit

Transfer credit is considered on the basis of an official transcript or transcripts from institutions accredited by regional accreditors. Official transcripts must be sent directly to Virginia Wesleyan College from all colleges previously attended. The results of the transfer evaluation of credit are recorded on the student’s “Transfer Evaluation Report” on Webadvisor.

A formal transfer credit evaluation is completed after admission to the College. The evaluation is completed only by the Office of the Registrar.  Transfer grades are not included in the Virginia Wesleyan College grade point average. Amount of credit is determined in terms of the appropriate number of semester credit hours. Criteria for the acceptance of transfer credit include the following:

1.  Transfer credit is awarded for courses from colleges/universities accredited by regional accreditors and that are comparable in content and quality to those offered within the academic programs at Virginia Wesleyan College.
2.  No transfer credit is awarded for developmental, vocational or internship courses or courses with grades below C (2.00)
3.  An inventory of courses routinely accepted for transfer credit from the Virginia Community College System (available on the Registrar’s website) lists comparable courses and their Virginia Wesleyan College equivalents. In conformity with conventional practice, transfer credit is also generally granted for standard courses within conventional disciplines of higher education. For questionable cases, students may be required to produce syllabi and other materials for review by appropriate faculty, who will make recommendations about comparability

  • The following special condition applies to the acceptance of transfer credit from the Virginia Community College System:  a) a maximum of 12 credit hours will be accepted from the Legal Administration category.
  • A small number of specific transfer articulations are available to students entering VWC with earned Associate Degrees from VCCS or from Richard Bland College of William and Mary College. Students should contact their transfer advisor or the Registrar for details.

4. In areas in which it has neither faculty expertise (for example auto mechanics, HVAC [Heating, Ventilation and Air Conditioning] or other career-specific areas), or comparable programs (for example Nursing), the College would not accept credits
5.  No transfer of credit is awarded for failing grades earned under a system of evaluation equivalent to the pass/fail concept.
6.  No transfer of credit is awarded for non-credit courses
7.  Students may not transfer more than 64 semester hours from two-year institutions.
8.  There are no limits on transfer hours from four-year institutions, but students must meet graduation requirements, including residency requirements.
9.  Writing Intensive courses, as well as the Senior Integrative course required in the General Studies Frames of Reference program, cannot be fulfilled through transfer credit
10.  To determine transfer credit acceptance for courses completed outside the U.S., Virginia Wesleyan College utilizes the review of the World Education Services (WES) and the American Association of Collegiate Registrars and Admissions Officers (AACRAO). The student must send transcripts to one of the two organizations and have the evaluation sent to Virginia Wesleyan College. Then it is evaluated by the Registrar’s office, following the normal process of transcript evaluation.

II. Additional Sources of Academic Credit

  • Advanced Placement.   Virginia Wesleyan grants course credit for Advanced Placement Exams of the College Entrance Examination Board. Credit is not awarded for both an AP exam and an IB exam in the same subject. See chart, Important Links on the Registrar’s homepage (www.vwc.edu/academics/registrar )for minimum scores.
  • International Baccalaureate. Virginia Wesleyan grants advanced placement and/or credit for a score of 5 or higher on the Higher Level examinations in the International Baccalaureate (IB) program. The online table (Important Links, Registrar’s homepage www.vwc.edu/academics/registrar )  lists courses that have been reviewed and approved for credit by the college’s various academic departments. Additional IB courses not listed here may be reviewed as necessary. No credit is awarded for Subsidiary Level examinations. Credit is not awarded for both an IB exam and an AP exam in the same subject.
  • College-Level Examination Program (CLEP)  Entering students may apply for credit in  disciplines in which they have taken CLEP examinations and achieved sufficiently high scores. Current students must receive prior approval before taking CLEP examinations for credit. They may receive credit for scores on the general examinations and on the subject examinations in areas applicable to Virginia Wesleyan’s curriculum. Specific information can be obtained from the Registrar’s home page (www.vwc.edu/academics/registrar).
  • Military: Virginia Wesleyan follows the guidelines set forth by the American Council on Education (ACE) when granting credit for educational experiences in the armed services. Veterans should submit an appropriate transcript (Joint Services, etc.). Credit awarded must be equivalent to courses offered at Virginia Wesleyan or logical extensions thereof and are subject to review by faculty in the academic field. A student may receive a maximum of 32 semester hours for military credit.
  • Professional Certifications: Virginia Wesleyan follows the guidelines set forth by the American Council on Education (ACE) when granting credit for professional certifications. In some cases, professional training and/or certification may earn American Council of Education (ACE) credits. Official paperwork should be submitted by the student to the Registrar’s Office for evaluation.

II. Transient Registration: Virginia Wesleyan students may take courses at other institutions of higher education and transfer the credit. To do so, they must be in good academic standing, complete an application, and receive the written approval of their advisor and the Registrar prior to registering for any courses at other institutions. Approved credit is accepted for transfer only when the student has earned a grade of C (2.0) or above. Transfer credit does not affect the student’s grade point average at Virginia Wesleyan.

  • Transfer credits will be accepted for grades of "C" (2.0) and above for previous approved courses and will apply toward your degree requirements.
  • Up to one semester hour per week of enrollment is allowed. (Summer enrollment - maximum of 12 credits.)
  • Coursework taken as a transient student will not fulfill writing course requirements but may fulfill general studies requirements.
  • Approval is void under any of the following conditions:

  • Failure to indicate to the Business Office your intention to return to Virginia Wesleyan for the next semester.
  • Receipt of incomplete grade at the end of the current semester.
  • Placement on academic probation, suspension or dismissal at the end of the current semester

III. Acceptance of Academic Credit through Collaborative Academic Arrangements and/or Facility Use

  • Cross-Registration: Virginia Wesleyan’s membership in the Virginia Tidewater Consortium (VTC)  provides students with opportunities for cross-registration at the other VTC institutions of higher education located in Hampton Roads. Subject to available space at another school, Virginia Wesleyan students may cross-register at other member institutions for a course that is not currently available at Virginia Wesleyan College in a given semester. Students must have the written approval of their advisor and the Registrar and be in good academic standing (2.00 GPA). Grades earned through cross-registration become part of the student’s grade point average.  Cross-Registration forms are available in the Registrar’s office.

  • Chrysler Museum of Art Partnership for studio art course. With the approval of academic advisor from the VWC Art Department, qualifying students can enroll in, and receive credit for ART 420: Advanced Topics in Art, Glass, taught by an adjunct faculty of VWC at the Chrysler Museum of Art Glass Studio, Norfolk, VA.
  • (the following opportunity is available as a pilot program for the 2014-15 academic year; interested student must see their advisor) Virginia Foundation for Independent Colleges (VFIC) Foreign Language Exchange. With the approval of academic advisor, students can enroll in, and receive credit for, a limited number of foreign language courses. These courses are taught by faculty from VFIC schools. Students attend courses via teleconferencing from the VWC campus and the credit is transferred in via transient registration (see II. Above). VFIC Language Exchange courses are unusual in the fact that the students sit in a classroom on OUR campus while taking the credits on ANOTHER campus.  

IV. Special agreements involving acceptance of credit from other institutions. Students wishing to pursue these options must contact their advisor or the Registrar:
